Job Description

The Program Management Office within Marketing Program Delivery is responsible for oversight and execution of Marketing Storefront program delivery. The PMO coordinates the agency enrollment process, oversees vendor enrollment notifications and change requests, services the program Help Desk, and assists in generating monthly enrollment and activity tracking reports. This specialist works closely with Regional Marketing team members, vendors, and agencies to triage fulfillment issues and drive to resolution within designated SLA’s.

Responsibilities:

The Marketing Operations Specialist will be assigned responsibility for the Marketing Storefront programs to:

a) Manage Help Desk email inbox for “Marketing Storefront”
b) Triage, categorize, and assign received service requests
c) Maintain a repository of email response templates
d) Maintain a Frequently Asked Questions document
e) Prepare region and agent-level communications
f) Prepare weekly Help Desk activity and service level tracking reports
g) Maintain consistency between Help Desk and Technology Help Desk
h) Assist in agent, regional or vendor communication drafting
i) Maintain a log of enrollment files and changes (adds, modifies, deletes)
j) Assist in assuring vendor’s delivered service meets contractual requirements
k) Log and maintain vendor invoices
l) Organize, analyze and distribute contact data from the Marketing Storefront mailbox

Job Qualifications

The successful candidate will exhibit the following characteristics:
 

  • Ability to prepare concise written communication in a Help Desk context (should have demonstrated writing / communication background experience)
  • Good interpersonal skills and collaborative work ethic
  • Excellent communication skills; highly motivated
  • Confident and adept at representing Allstate in conversations with external vendors and agencies
  • Attention to detail, accuracy, and knowledge of quality-control methodology
  • Expert with office technology tools to drive operational reporting needs and quality assurance reviews
  • Familiarity with process documentation and flow diagrams
  • Superior organizational, critical thinking and problem solving skills
  • Ability to manipulate data and interpret/analyze results
     

Required Technical Skills:

• Accomplished knowledge of Microsoft Office software (Excel, Outlook, Word)
• Knowledge of commonly used Excel Worksheet functions (sort, filter, table lookups), including specific expertise with:
 

  • Analyzing, Consolidating, and Summarizing Data
  • Manipulating Pivot Tables
  • Preparing and Executing Excel Macros
  • Familiarity with Web-based Office Software
